Utilization = billable hours ÷ ((working days − days off) × hours per day).
Billability = billable hours ÷ all tracked hours.
Billable hours are the hours a client pays for. Everything else a consultant does, from internal meetings to sales calls, is non-billable. Two ratios describe the split:
Unbilled capacity is the hours a consultant was available but did not bill, priced at the hourly rate. It is the number to watch when utilization drops.
Consulting Cockpit works this out for every consultant every month, from the hours they track, corrected for weekends, public holidays per country and approved leave. See utilization reporting, billable hours tracking and time tracking for consultants.
Start Your 30-Day Free TrialBillable hours are the hours you can charge a client for: work done for that client under an agreed rate. Internal meetings, sales, training and admin are non-billable.
Divide billable hours by available hours. Available hours are the working days in the period minus holidays and leave, times the hours in a working day.
Many consultancies aim for 70 to 80 percent. Above that there is little room for sales, training and internal work; well below it, capacity goes unbilled.
Utilization compares billable hours with the hours a consultant was available. Billability compares billable hours with all hours actually tracked.
Yes. It tracks billable and non-billable time per client and reports utilization and billability per consultant per month, corrected for weekends, public holidays and approved leave.
