Vacation Tracking Software for Teams in Multiple EU Countries

Stop recalculating public holidays by hand: each consultant's holidays, allowance and carryover follow the location they work in.

Consulting Cockpit - Leaves
Team leave timeline for August with consultants in Berlin, Bavaria and Poland: regional public holidays marked per person, several pending requests and one approved leave

Days Off Are Where the Spreadsheet Breaks

01

Two Offices, Two Holiday Calendars

A consultant in Bavaria has public holidays a colleague in Berlin does not, and somebody has to remember the difference every time a request comes in.

02

Carryover Nobody Is Watching

Leftover days from last year quietly roll on until someone claims twenty of them in one go.

03

Approvals Buried in Chat and Mail

Six months later nobody can say who approved which week, or on what grounds.

04

No Live Picture of Who Is Away

Staffing next month's project means asking around instead of looking at one screen.

Set the Location Once

Every later calculation follows from it, request after request.

  1. Each consultant sits in a location

Germany – Berlin and Germany – Bayern are separate locations with their own public holidays, so people in the same firm keep the calendar that applies to them.

  2. Weekends and public holidays cost nothing

A request that spans a bank holiday or a weekend deducts only the working days in between. A half day deducts 0.5.

  3. The balance is checked before the request goes out

A request that exceeds the remaining balance, including days already waiting for approval, is refused with the exact figure it is short by.

  4. Approve, reject or cancel with the record kept

Every decision carries the person who made it, the time and an optional comment. Cancelling approved leave returns the days to the balance.

  5. Carryover is used first, then expires on your date

Last year's days are consumed before this year's allowance, and whatever is left expires on the location's cut-off date, 31 March by default.

The Cases That Cost You Days

The awkward ones are handled without a manual correction.

Sick leave beats booked holiday

If a consultant falls ill during approved annual leave, the sick days replace the holiday for those dates and the vacation days go back to their balance.

No double bookings

Two overlapping requests for the same date are refused, and half days can only be combined up to one full day.

Holidays that fall at the weekend

Per location you choose whether a public holiday counts on its actual date or moves to the next working day.

A warning before days are lost

Thirty days before the cut-off, owners get one mail listing every consultant with carryover about to expire and how much.

Every correction to an entitlement or a carryover is written down with the name and the exact time of the person who made it, see Audit Trail

Common Questions.

Which holiday calendars are pre-loaded?

Germany – Berlin, Germany – Bayern, Poland and Albania arrive with their holiday dates filled in. You can add further locations for Austria, Switzerland, Luxembourg and the United Kingdom and enter their dates per year.

Can consultants in different regions of one country be handled?

Yes. A region is its own location, so a Munich consultant and a Berlin consultant keep different public holidays inside the same organisation.

Do weekends and public holidays come off the allowance?

No. A request spanning a bank holiday or a weekend deducts only the working days it covers.

When exactly does carryover expire?

On the date set for that location, 31 March by default. Carryover is always spent before the current year's allowance, so nothing is lost unnecessarily.

Can people book half days?

Yes. A half day deducts 0.5 from the balance, and two half days on the same date are the most that fits.

Who approves a request?

Owners approve or reject requests from their consultants, with an optional comment kept on the record. Owners' own requests are approved on submission, and members' sick leave can be set to approve automatically.
